This is not a room list. A room appears here because someone in it has AI service open — not because the room exists. Your PMS still owns the building; this screen owns who your AI staff can help right now.
What is on the screen
A band of counts across the top: Occupied rooms, Guests in house, Adults, Children. If your hotel’s system is connected to RecepAI, a chip beside the title says so. A row per room. Each row carries the room number, the people in it, and a mark when something needs attention. A room with more than one person shows them together — the room is the unit, not the individual, because that is how a stay actually works. A search box across name, room, and phone, and a detail panel that opens when you select someone. The panel separates the visit from the person:What you do here
1
Activate a guest
Select Activate Guest, then give the room, the guest’s name, and a phone number — the button stays disabled until the number is valid, because that number is how the guest reaches your AI staff and how they are recognised later. Email is optional. Mark Day Guest for someone who is not staying the night.
2
Add a second person to a room
Open the room and choose Add another guest. Use this when a companion arrives after the first person, or arrives at the desk separately.
3
Move someone to a different room
Choose Move Room, pick the new room, and give a reason — a guest request, maintenance, an upgrade. The reason is what makes the change readable to whoever looks at it next week.
4
Change the check-out date
Edit Stay covers the stay itself. The guest’s name, phone, and email are shown there but not editable — they belong to the person, not this visit, and the panel links you to Edit Profile to change them.
5
End it when the guest leaves
End stay closes one person. Check out room closes everyone in the room at once. Both stop AI service for those guests.
