What is on the screen
The header
- Preview prices — a quick check of your price formulas (see Preview prices below).
- Add rate plan — a hotel can have up to 5 rate plans that are not archived. At five, the screen says You have 5 rate plans, the most a hotel can have. Archive one to add another.
Applies to all rate plans
Child age groups — the ages every rate plan prices children by, for example Infant 0–2 · Child 3–11 · Teen 12–17. Select the card to open them:- Up to 3 groups, ages 0 to 17, and the ranges can’t overlap.
- Under the Teen group, Charge teens as adults counts those guests as adults for pricing.
- No age groups yet. Until there is one, a booking with a child gets no price.
- A group that a rate plan prices can’t be removed until that plan’s child price for it is cleared.
Your rate plans
One row per plan, each with:- A star. The starred plan is shown to guests first, unless a campaign says otherwise. With no star, guests see the plan that costs least for their dates first.
- Its name and a short code for the board: RO (room only), BB, HB, FB, ALL or PKG. A currency code appears when your plans use more than one currency.
- Its terms in one line, for example Flexible — free cancellation until 18:00 the day before arrival · min 2 nights · no card required.
- Available for — the room the plan is sold with.
- A status — Active, Inactive (not offered to guests) or Archived.
The plan panel
Select a plan, or Add rate plan, to open it:
Under Flexible, the panel shows an example of the window, such as A guest arriving on Oct 10 can cancel free of charge until Oct 9, 18:00.
Preview prices
A check of your formulas, not of a date: enter a Base rate and see what each active plan’s formulas make of it for every number of adults — Single, Double, Triple — with the room’s base occupancy marked Base rate. Add children to see their supplements; a Date box appears when seasonal formulas apply. Some rows read Set in the Calendar — no formula for 1 adult. That is not an error: that price has no formula because you enter it for each date on Calendar. Set the child age groups first, if you price children
Select Child age groups, adjust the ranges, and select Save age groups. Every plan’s Child Pricing is set per group, so the groups come first.

Add a rate plan
Select Add rate plan, give it a Name and a Meal Plan, and choose its Cancellation Policy, Card policy and Stay Rules.

Write the cancellation terms you will honour
For Flexible, choose the day and the time the free window closes, and the fee after it. Strict and Non-refundable have no free window.

Save
Select Save — Save & Recalculate for a plan derived from another, because its prices are recalculated from the parent.

Star the plan guests should see first
Select the star on its row. Select it again to clear it.

Archive a plan you no longer sell
Open it and select Archive plan. A plan used by an active campaign or a strategy is refused until you remove it there.
If your role can only view the reservations setup, the screen says You can view the rate plans. Changes are made by someone with edit access to the reservations setup. You can open Preview prices and see the age groups, but not change a plan.
What happens next
- An Active plan is offered to guests on every date that has a price on Calendar. An Inactive plan is kept but not offered.
- Stay Rules apply on every date. Where the Calendar sets a longer minimum stay for a date, the stricter of the two applies.
- A changed cancellation window or fee applies to new bookings. Bookings already made keep what they were sold under.
- The starred plan leads the list guests see, unless a campaign says otherwise.
- Changing an age range changes which child price applies in every plan that uses it — the sheet tells you how many plans that is before you save.
