Training gives you several ways to get your hotel’s information into the library. Use whichever matches the shape of what you already have.

Ways to add content

Add Documents

Upload files you already have — a fact sheet, a policy document, a menu, a price list. Accepted formats: PDF, Word, Excel, CSV, plain text and JSON. Give each document a clear name. Spa treatments and hours tells you what it is a year from now; document3-final-v2 does not.

New Page

Write content directly, for anything that only lives in someone’s head. This is the fastest way to capture the things your front desk answers every day but nobody ever wrote down.
The editor has no tables. Write prices and hours as a list instead — Massage, 60 minutes — 1,200 on its own line. A table pasted from elsewhere arrives as a run-on line that is hard for anyone to read.

Q&A

For a single question and its answer, where a whole page would be overkill. Do you allow pets? with the real answer underneath.

Scan Web

Import pages from your own website. You can narrow what gets pulled in:
  • Include the sections worth having — /rooms/, /services/
  • Exclude what is not — /blog/, /old/, other language versions you do not want twice
Check what comes in. Website pages carry marketing language, navigation text and sometimes prices that are out of date. Imported material is a draft, not a finished document — read it before you leave it in the library.

Keeping the library tidy

Delete Selected and Clear All are not the same thing. Clear All only empties the list of files waiting to be uploaded — nothing that is already in the library is affected. Delete Selected removes documents from the library itself.
Replace, don’t duplicate. Uploading Spa menu 2026 next to Spa menu leaves two versions in the library, and your receptionist has no way of knowing which one you meant. Use Replace File so there is only ever one answer.

Name each one plainly

You are naming it for the colleague who opens this screen next year.

Read anything imported

Website and Notion imports are drafts. Check them before you trust them.

Come back when something changes

A new menu, a changed policy, a renovation. Replace the document rather than adding a second one.

What happens next

New material is available to your receptionist shortly after you add it — you do not need to publish anything or restart her.
After a large upload, revisit Profile. She built her identity from the library as it was that day. A substantial addition is worth letting her read again.
