If your hotel’s fact sheets, policies and menus already live in Notion, you can connect that workspace to your receptionist’s library rather than exporting and re-uploading everything. The advantage is not the first import — it is every change after it. Your team keeps editing where they already work, and you bring the updates across from this screen.

Setting it up

Open the Notion panel

On the Training screen, choose From Notion. The Notion panel opens, with Add pages from Notion at the top.

Choose pages in Notion

Press Choose pages in Notion. Notion opens in a small window: sign in, and choose the pages this connection may read. Notion controls that boundary, not us — if you are unsure what a selection covers, check it in Notion’s own sharing settings.

Let your receptionist learn them

Every page you chose is added, one by one, while the panel counts them. A page already in your library is not added twice. When it finishes, the panel says what was added — and lists each page that could not be added, with the reason. Add more pages starts again. If the connection drops before the end, the panel reads Connection lost: it says how many pages were added before then, and that the others may still be added — check your library again in a minute before you try again.

Read what arrived

Pages from Notion are a starting point. Check them the same way you would check anything else you upload.
Who connects matters. The connection carries the access of the person who set it up. If that person leaves and their Notion account is closed, the connection stops working and someone has to connect again. On a hotel workspace it is worth connecting with an account that will outlast one employee.
The panel shows whether Notion is Connected. When it reads Not connected, press Connect Notion again, and the connection resumes.

Keeping it up to date

Notion changes do not appear by themselves. When your team edits a page in Notion, come back to Training and bring the change across. Under Changes in Notion, press Check Notion for changes. The panel then says how many pages are in each of these cases, with the pages listed:
  • Pages that changed in Notion since your receptionist learned them — Update from Notion brings every one of them across. A page that could not be updated stays on the list, and the panel says so.
  • Pages no longer available in Notion. Your receptionist still uses them. Remove all removes them from the library, after asking — remove them if they are no longer true.
  • Pages that could not be checked — try again in a minute. If the connection itself has stopped, the panel says to connect Notion again first.
Everything is up to date appears only when every page was checked, and none changed or became unavailable.

One page at a time

Each page from Notion is a row in your library. View opens the page’s own window: what your receptionist learned from it, when she learned it, and how it stands in Notion. A page from Notion that reads Not learned in the list has Update from Notion beside it.

Where to edit

In Notion. The content is not edited on this screen. That is deliberate: Notion stays the single version of the truth, and your team keeps one habit instead of two.

What to import

The same judgement as anything else — see What to upload. Notion pages tend to carry a few extra things worth removing:
  • Internal task lists, owners and deadlines
  • Draft sections nobody has finished
  • Meeting notes that happen to sit next to the useful page
  • Anything a guest should not read
A tidy Notion section imports well. If your hotel keeps guest-facing information in its own area of the workspace, connecting is close to effortless. If it is mixed in with operations notes, it is worth separating them in Notion first — the library you get out is only as clean as the pages you share.

What happens next

Pages from Notion join the library and your receptionist can use them straight away. Notion edits do not follow by themselves — the library holds what was last brought across, so a change made in Notion this morning is not in her answers until you press Update from Notion.
