# Rooms Setup

> The room numbers RecepAI knows about — the list everything else picks from.

**Rooms Setup** is the list of your room numbers. It is small and it is load-bearing: the room picker on [Active Guests](/front-desk/guests/active-guests), the room on a request, and the check for whether a guest gave a real room all read from here.

## What is on the screen

Your room numbers, and three ways to add them:

* **Single** — one number at a time
* **Range** — a run of consecutive numbers in one go
* **Bulk Import** — paste a list and let the screen pull the numbers out of it

There is also a way to clear the list, behind a confirmation.

**Auto Checkout** sits on this screen as well: whether rooms whose **check-out date has already passed** are closed on their own, at what hour, and **who is told about the ones it does not close**.

## What you do here

    Whatever you type here is what a guest is matched against and what your staff pick from.

  <Step title="Use Range or Bulk Import for the first setup">
    **Range** covers a floor of consecutive numbers. **Bulk Import** takes the list you already have and reads the numbers out of the text rather than asking you to retype them.

  <Step title="Decide about Auto Checkout">
    With it on, rooms already past their check-out date are closed at the hour you set. With it off, a room stays open until somebody ends it on [Active Guests](/front-desk/guests/active-guests).

  <Step title="Name who receives the report">
    Some rooms are deliberately left open — see below. They are reported instead of closed, and **until you choose recipients, nobody is told about them.**

    The screen tells you when you have unsaved changes.

<Warning>
  **Auto Checkout does not close every open room, and the ones it leaves need a person.** A room open far longer than expected — past a ceiling of about a week — or one whose guest list cannot be confirmed is **left open on purpose** and reported instead, so somebody can look at it rather than have it quietly closed. That report reaches whoever you name; with nobody named, those rooms simply stay open and unremarked.

  **Clearing all rooms empties the list everything else depends on** — but only on this screen until you **Save**. Nothing is applied to your hotel while the change is unsaved, so leaving without saving leaves your rooms as they were. Saving it is what makes it real.

## What happens next

Once rooms exist, they appear wherever a room is chosen, and a room number a guest gives can be checked against a real list rather than accepted as typed.
