# Response AI

> Paste a review, get a reply drafted in your hotel's voice, copy it where you need it.

**Response AI** is a drafting tool. You give it a review, choose how the reply should be written, and copy the result.

<Info>
  **It writes; it does not send.** There is no publish button on this screen. The draft leaves it by being copied, which means every reply that reaches a guest was put there by a person.

## What is on the screen

Two panels side by side.

**On the left, the review you are answering.** You paste it in yourself, so this works for a review from anywhere — not only the ones already in your [Inbox](/front-desk/reviews/inbox):

| Field                       |                                                                 |
| --------------------------- | --------------------------------------------------------------- |
| **Review Text** | The guest's words, pasted in |
| **Rating** | How many stars they gave |
| **Platform** | Where the review was written |
| **Guest name** | Optional, so the reply can address them |
| **Additional Instructions** | Anything specific to this reply — *"mention the refurbishment"* |

You also pick **which of two drafters writes it**, and they do not know the same things:

| Mode                    | What it uses                                                                                                |
| ----------------------- | ----------------------------------------------------------------------------------------------------------- |
| **Quick Reply** | The review and the details you entered, without hotel knowledge or guest history. Fast. |
| **Context-Aware Reply** | The same, and it can also draw on relevant hotel knowledge, guest history and your review settings. Slower. |

The screen picks for you from the rating — a 4 or 5 star review starts on **Quick Reply**, a 1 to 3 star review on **Context-Aware Reply** — and you can change it before generating.

**On the right, the draft**, with two controls: a **tone** selector with **Regenerate**, and **Copy Response**.

## What you do here

<Steps>
  <Step title="Paste the review and set the rating">
    Both are required — the draft will not generate without them, because the rating changes what a good reply even looks like.
  </Step>

  <Step title="Choose the mode against what the reply needs to know">
    A short thank-you for five stars does not need your knowledge base. A complaint that has to be answered accurately does — use **Context-Aware Reply** there.
  </Step>

  <Step title="Add what neither mode can know">
    Neither mode can be relied on for something that happened this week — the lift being fixed last Tuesday. That goes in **Additional Instructions**.
  </Step>

  <Step title="Generate, then judge the whole thing">
    Read it as the guest would. If the voice is wrong, do not edit it sentence by sentence — pick a different tone and **Regenerate**.
  </Step>

  <Step title="Copy it where it needs to go">
    **Copy Response** puts the text on your clipboard. Paste it into the review site, your email, or wherever you are answering.
  </Step>
</Steps>

<Warning>
  **Read every draft before it goes out.** A Quick Reply works from the review and what you typed; a Context-Aware Reply may also draw on what your hotel has written down. Neither is a substitute for knowing what happened at your hotel this week. The last read is yours.

## What happens next

Nothing is published from this screen. Every draft you generate is kept on [Response History](/front-desk/reviews/response-history), so you can find one again, and see which tone you have been reaching for.

**To answer a review already in your inbox**, go to the [Inbox](/front-desk/reviews/inbox) — replies to Google reviews are published from there.
