# Active Guests

> Everyone your AI staff are serving right now, grouped by the room they are in.

**Active Guests** shows every guest RecepAI is currently serving. It is the screen your team lives on during a shift.

<Note>
  **This is not a room list.** A room appears here because someone in it has AI service open — not because the room exists. Your PMS still owns the building; this screen owns *who your AI staff can help right now*.
</Note>

***

## What is on the screen

**A band of counts across the top:** *Occupied rooms*, *Guests in house*, *Adults*, *Children*. If your hotel's system is connected to RecepAI, a chip beside the title says so.

**A row per room.** Each row carries the room number, the people in it, and a mark when something needs attention. A room with more than one person shows them together — the room is the unit, not the individual, because that is how a stay actually works.

**A search box** across name, room, and phone, and a **detail panel** that opens when you select someone. The panel separates the visit from the person:

| Tab               | What it holds                                                                            |
| ----------------- | ---------------------------------------------------------------------------------------- |
| **Current Stay** | This visit — what they have asked for, what your team noted, and the log of what changed |
| **Guest Profile** | The person themselves, across every visit: *Preferences*, *Stays*, *Requests*, *Notes* |

## What you do here

<Steps>
  <Step title="Activate a guest">
    Select **Activate Guest**, then give the room, the guest's name, and **a phone number** — the button stays disabled until the number is valid, because that number is how the guest reaches your AI staff and how they are recognised later. Email is optional. Mark **Day Guest** for someone who is not staying the night.
  </Step>

  <Step title="Add a second person to a room">
    Open the room and choose **Add another guest**. Use this when a companion arrives after the first person, or arrives at the desk separately.
  </Step>

  <Step title="Move someone to a different room">
    Choose **Move Room**, pick the new room, and give a reason — a guest request, maintenance, an upgrade. The reason is what makes the change readable to whoever looks at it next week.
  </Step>

  <Step title="Change the check-out date">
    **Edit Stay** covers the stay itself. The guest's name, phone, and email are shown there but not editable — they belong to the person, not this visit, and the panel links you to **Edit Profile** to change them.
  </Step>

  <Step title="End it when the guest leaves">
    **End stay** closes one person. **Check out room** closes everyone in the room at once. Both stop AI service for those guests.
  </Step>
</Steps>

<Warning>
  **Ending a stay is not reversible from this screen.** The guest's AI service closes. Their profile and their history stay — it is the *stay* that ends, not the record of them.
</Warning>

## What happens next

**When you activate a guest**, AI service opens for that room. If your hotel sends a welcome message, the guest receives it on the number you entered and can start talking to your AI staff straight away.

**When you end a stay**, the guest leaves this board. Sometimes a room stays held after a check-out rather than closing outright; when that happens the row says so and stays visible until it is finished. A check-out that did not complete never reports itself as done.

**Rooms you did not close yourself** may close on their own if your hotel has set an automatic check-out hour — see [Rooms](/front-desk/settings/rooms).

<Tip>
  **The Access Code lives at the top of this screen too.** Guests use it to verify their stay themselves, which saves your team from activating each one by hand. It is managed under [Guest Access](/front-desk/settings/guest-access).
