# Room & Rates

> What you are selling through RecepAI, who fits in it, and at what price.

**Room & Rates** is the foundation. Nothing else in this group works until it is filled in: the calendar has nothing to price, and strategies have nothing to adjust.

A switch at the top turns Guerrilla Reservation on for your hotel.

## What is on the screen

Three tabs.

### Room Setup

What you are offering and who fits in it:

* **Guest-Facing Name** — what the guest sees. It is the name of the offer, not a room type from your PMS.
* **Description**
* **Max Adults**, **Max Children**, **Max Total Guests**
* **Charge teens as adults**, and how you name a younger age group
* **Minimum price** — the floor below which the offer is not sold

### Pricing

Where you set what it costs by how many people are staying. The screen states the pricing arrangement your hotel is set up on, and the number of guests that arrangement treats as the base.

Two kinds of entry live here: **price rules that apply to all dates**, and **seasonal overrides** for the stretches that are different.

### Rate Plans

Up to a handful of plans, each one a different deal on the same room:

| Field                                           |                            |
| ----------------------------------------------- | -------------------------- |
| **Name** | What it is called |
| **Meal Plan** | What is included |
| **Min Stay**, **Max Stay** | Nights, or no limit |
| **Policy Type**, **Free cancel before (hours)** | Your cancellation terms |
| **Card policy** | Whether a card is required |
| **Currency**, **Active**                        |                            |

Each plan also carries **Child Pricing**, set per age group you defined in Room Setup. Each group is *Free*, a *Fixed amount / night*, or a *% of nightly base price* — and choosing the fixed amount is what reveals the **Lodging / night** and **Meal / night** boxes, so board costs for a child can be priced separately from the bed. **First child free** sits alongside.

## What you do here

<Steps>
  <Step title="Set the room up before anything else">
    Occupancy limits decide which quotes are even possible. A party that does not fit is never offered a price.
  </Step>

  <Step title="Name it as a guest would read it">
    This name appears in the conversation. "Surprise Room" is an offer; "DBL-STD-2" is an internal code.
  </Step>

  <Step title="Set the minimum price deliberately">
    It is the floor. A quote that would fall below it is not sold at all rather than sold cheaply — so set it to a number you would genuinely accept.
  </Step>

  <Step title="Build your rate plans last">
    Each plan is a different promise to the guest — what is included, how long they must stay, how late they can cancel. Write the promise you will keep.
  </Step>
</Steps>

<Warning>
  **Every field here is a promise made in a conversation.** Free cancellation hours and meal inclusion are quoted to guests and honoured against what is set here. Change them knowing that bookings already taken carry the terms they were sold under.
</Warning>

## What happens next

Setting this screen up is the first step, not the last. Before your AI staff can quote a date, four things have to be true together:

1. Guerrilla Reservation is switched on,
2. the room is set up,
3. at least one rate plan is **active**,
4. and that date has **both a price and inventory you can still sell** on [Calendar](/front-desk/guerrilla/calendar).

A date missing any of them is not quoted. [Strategies](/front-desk/guerrilla/strategies) then adjust from the calendar price.
